Custom ERP or Off-the-Shelf Software (Odoo, Sage): What Should a Moroccan SMB Choose?

Your business is growing, Excel can't keep up, and you're looking for management software. Very quickly, two paths appear: off-the-shelf software like Odoo or Sage, or an ERP built custom for your business.

There's no universal right answer. Here's how to choose honestly, including the cases where custom isn't the right option.

At a glance

Off-the-shelf (Odoo, Sage…) Custom ERP
Time to launch Fast for standard needs Longer: it has to be built
Starting cost Lower Higher
Cost over time Per-user subscriptions, paid modules, implementation partner Hosting and maintenance, no per-user license
Fit to your business You adapt to the software The software adapts to you
Simplicity for the team Many menus and options Only the screens you need
Ownership You rent software The tool is yours
Best for Standard processes Specific processes, or a simple, focused need

Off-the-shelf software: Odoo and Sage

Odoo

Odoo is a very complete ERP, with a free version (Community) and a paid, per-user version (Enterprise). It covers almost everything: sales, purchasing, stock, accounting, HR, website, CRM.

Strengths: very feature-rich; large community and many implementation partners in Morocco; you can get started fast on standard processes.

Limits to know: customization goes through an implementation partner, and every custom development has a cost; the interface can feel heavy for a small team using only 10% of the features; total cost grows with the number of users and modules; version upgrades can break custom developments.

Sage

Sage has a strong presence in Morocco, especially for accounting and commercial management, and it's well known to accountants.

Strengths: solid for accounting and compliance; accountants already know it; reliable for standard financial processes.

Limits to know: less flexible for specific trades (rentals, job sites, field tracking…); interface often seen as dated; custom adjustments remain limited.

The custom ERP

A custom ERP is software built for your business: your screens, your steps, your vocabulary. It can be very complete, or very focused.

Strengths: it follows exactly how you work; the team only sees useful screens, so adoption is fast; no per-user license — adding a colleague costs nothing extra; you own the tool and your data; it can start small and grow module by module.

Limits to know: a higher starting cost than a subscription; a development timeline before you can use the tool; you depend on the quality of the provider — choose a team that documents, trains and maintains.

Two real examples

Pneu L'Entente didn't need a full ERP with dozens of modules. The need was precise: track every expense and every invoice in one place. A focused custom tool was easier to adopt than a large system the team would have used only a small part of.

Martina Car, a car rental agency, had a specific trade: tracking every rental, every vehicle and every invoice. As the team puts it: "The accounting and tracking system they built finally gives us real visibility over every rental, every vehicle, every invoice." This kind of trade-specific tracking is exactly where custom makes the difference.

When to choose Odoo or Sage

Let's be honest: custom isn't always the right answer. Off-the-shelf software is often the best choice if your processes are standard (purchasing, sales, invoicing, standard accounting), you need to get started very fast, your starting budget is limited and you have few users, or your accountant requires a specific tool and you have no particular trade-specific need.

When to choose custom

A custom ERP becomes the best choice if your business has specific steps that off-the-shelf software handles poorly (rentals, job sites, production, field work…), you have a precise, limited need and don't want to pay for a big system you'd only use 10% of, you have many users and per-user licenses get expensive, you've already tried off-the-shelf software and your team doesn't use it, or you want to own your tool and your data.

The middle ground

It's not always one or the other. Many businesses keep Sage for accounting (the accountant insists on it) and add a custom tool for the trade itself (tracking operations, expenses, rentals…), with an export to accounting.

5 questions to help you choose

  1. What's the number-one problem the tool needs to solve? (If you can't say it in one sentence, start there.)
  2. Are your processes standard, or specific to your trade?
  3. How many people will use the tool, today and in 3 years?
  4. What's the total cost over 3 years? Compare subscriptions + partner + modules on one side, development + maintenance on the other.
  5. Will your team actually use it? The most powerful tool is useless if it stays closed.

FAQ

Is Odoo free? Odoo Community is free, but limited. The Enterprise version is paid per user, and setup usually goes through an implementation partner. The real cost depends on modules, users and customizations.

Does a custom ERP always cost more? Usually yes at the start. Over several years, not always: there's no per-user license, and a focused tool can cost less than a large, underused system.

Can we keep Sage and add a custom tool? Yes. This is common: Sage stays the accounting tool, and the custom tool handles the trade-specific side, with data exported to accounting.

How long does it take to set up a custom ERP? It depends on the number of modules. A focused tool is set up much faster than a full ERP. A realistic timeline is given after the audit.

Will my data belong to me? With a custom ERP, yes: the tool and the data are yours. Always check this in the contract.
